Medicare Revalidation Letter Notices – Please be sure to get a copy!

Medicare requires each provider be revalidated every 5 years.  Through the revalidation process, each PTAN (Provider Transaction Access Number or provider number) must be revalidated.  You are given a different PTAN for each EIN (Employer Identification Number) or TIN (Tax Identification Number) your services are billed under, including locums work.  There is a form that must be filled out and sent in for each PTAN.  If a PTAN is not revalidated, that specific PTAN is ‘termed’.

We are finding out Medicare sends out these letters to typically one (not all) of the locations the PTANs are assigned.  For instance, you may work/bill under 3 TINs, only one of the locations may receive this letter.  If whoever receives this notification only revalidates their PTAN without notifying the other parties, or at minimum you, the other PTANs will be termed and your services billed under those numbers will be suspended.  Because many times this is the case, we unfortunately do not find out there was a revalidation letter sent until we receive invalid provider number denials on claims.  This can be rectified if the proper paperwork is sent to Medicare within a small window of that suspension date, however, your PTAN is put on hold for that time period until the revalidation is received in the Medicare provider enrollment office.  If this is not caught in time, there is a possible chance you could lose all revenues and have to start the enrollment process over with a lapse in your participation status.

We are asking you notify ALL facilities, locations you bill services under to please pass along any letters received for your revalidation.  You can then pass a copy of this letter to all entities involved.  This will hopefully keep you from having either delayed revenues or even lost revenues.
